Personal Data Protection Policy

This is the summary of how we process your personal data in our registration forms, the Participant Portal, QR check-in, certificates, the Speaker Portal, travel arrangements and chat. It applies under Ecuador's Organic Law on Personal Data Protection (LOPDP).

Who we are

The data controller is DMCGROUP-ECUADOR CIA. LTDA. (trading as "DMC Group (DMC Congresos)"), tax ID (RUC) 1792982456001, domiciled in Quito, Pichincha, Ecuador. We organize congresses and events and provide travel and booking services. For any question about your data, write to atencion@groupdmc.com.

What data we process

• Registration: name, specialty, city, institution and payment details.
• ID document: national ID or passport, to identify you and issue your entry pass.
• Contact: email and phone number.
• Attendance: check-in record with your QR code.
• Certificates: your name and the certificate issued by the congress.
• Speakers: CV, photo and details of your role in the program.
• Travel: ID document and flight, accommodation and transfer details.
• Chat: the messages you send to our AI assistant.

Why we use it

To manage your registration, check-in and certificate; to organize speakers' participation and travel; to answer your questions; and, where the law allows, to send you information about other congresses, always with an option to unsubscribe. AI helps us answer the chat and keep records in order; no decision that affects you is made without the possibility of review by a person.

Legal basis

• The contract or relationship you start when you register or agree to be a speaker.
• Our legitimate interest in informing you about other congresses, always with the option to unsubscribe.
• Compliance with our legal obligations, for example tax obligations.

Who we share it with

With technology providers working on behalf of DMC: Google Cloud and Google Workspace, Resend (email), Meta/WhatsApp, Anthropic (AI), Wix and forms.app. For travel, with airlines, agencies, hotels and transport companies. Where applicable, with the scientific society that organizes each congress. We do not sell your data.

International transfers

Yes. Most of our systems are hosted on servers of Google and other providers in the United States. These providers process your data only on behalf of DMC and under contract.

How long we keep it

For as long as needed for the purpose it was collected for and to meet our legal obligations.

Photos and video at congresses

Photos and video are taken during congresses to record and promote the event. If you prefer not to appear, you can object: let us know at check-in or write to us, and we will remove from our publications the images in which you can be identified.

Your rights

You may exercise, at any time and free of charge, your rights of access, rectification and updating, erasure, objection, portability, suspension of processing, and not to be subject to decisions based solely on automated processing. You may also withdraw your consent.

Write to atencion@groupdmc.com stating which right you wish to exercise, with details that allow us to verify your identity. We will reply within the time limits set by law. If you are not satisfied, you may contact Ecuador's Personal Data Protection Authority (Superintendencia de Protección de Datos Personales).

Marketing communications

We only send you information about other congresses when the law allows it. You can unsubscribe at any time using the link in each email or by replying BAJA on WhatsApp. Unsubscribing does not affect messages about the congress you are registered for.

Security

We apply technical and organizational measures proportionate to the risk: encrypted connections (HTTPS), restricted access, temporary links, and confidentiality agreements with our staff and providers.

Changes to this policy

We may update this policy when our processing or the law changes. We will publish the new version at this same link, with its date and version number.
